The project has ended, but the shared workspace still contains drafts, decisions, and the only editable copy of the result. Deleting it too quickly can make later work difficult. Leaving everything open can keep ownership and access unclear. An orderly closure separates lasting outputs from material useful only during production.

Prepare a handoff rather than an unchecked folder dump

Identify the final version and the files required to continue editing it. These may include source documents, templates, and brief notes about dependencies. An exported PDF can be readable without replacing an editable template. Also identify any work that remains after the project formally ends.

A short starting document can explain where the result lives, which version is authoritative, and who handles questions. Point to existing decisions rather than rewriting the entire project discussion. Check with the recipient that files open and necessary edits are possible. A download by itself does not confirm a successful handoff.

Responsibility involves more than moving a folder

Check which account owns important files and whether that account will remain available. Ownership transfer, copying, and moving are different operations. Google Drive allows transfer under particular conditions; account type and organizational boundaries can affect the process. Transferring a folder also does not automatically transfer ownership of every file inside it.

Do not assume a successful takeover simply because the new person can see the folder. Verify the important files and their editability. If transfer is unavailable, plan an appropriate export or permitted copy and check which functions, links, or version information do not come along. Record those limitations in the handoff note.

Choose archive and access arrangements deliberately

Decide who needs the archive and how long particular materials serve the defined purpose. Account for any existing retention requirements. Archiving should be an understandable change of state, not merely a new folder name with unchanged editing rights.

Remove unnecessary guest access and sharing links after handoff is confirmed. Then test an archive link and an important file from the perspective of an intended user. Record the location, responsible person, and next review date. The workspace is now closed in a way that supports later questions without another search through old chats.
